How Precision Payroll collects, uses, stores and protects information including account data, organization records, employee information and saved payroll calculations.

1. Scope
This Privacy Policy applies to Precision Payroll — the website, calculators, Salary Slip Generator, authenticated workspace, employee and organization records, saved calculations and related services.
It describes what information we collect, why we collect it, how we use it and how you can control it. This policy is designed to reflect how the service actually works — not a generic template.
2. Information Collected
2.1 Account Information
When you create an account we collect:
- Full name
- Email address
- Password (stored as a secure one-way hash — never in plain text)
- Optional: company name and professional role
- Google account identifier (if you sign in with Google)
- Account status and timestamps
2.2 Organization Information
If you create an organization in the workspace, we store:
- Organization name
- Optional: address, GSTIN, PAN, CIN/registration
- Optional: organization logo (stored as an image)
- Work schedule defaults (working days per week, hours per day)
2.3 Employee Information
When you add employees to your organization workspace, we store the information you provide, which may include:
- Employee name and employee code
- Designation and department
- Joining date
- PAN, UAN, PF member ID, ESI number (where entered)
- Bank name and last-4 account digits (where entered)
- Employment status
Only add employee information you are authorized to manage on behalf of your organization.
2.4 Saved Payroll Records
For the following five tools, authenticated users can save calculation records:
- Salary Slip Generator — full salary slip data and template configuration
- Overtime Calculator — salary input and overtime calculation result
- PF & Pension Calculator — contribution inputs and projection result
- Notice Period / LWD Calculator — notice inputs and LWD result
- FnF Settlement Calculator — settlement inputs and settlement result
Each saved record stores a snapshot of the inputs and result at the time of saving, along with the calculation-engine version. The five non-persisted calculators (Indian Salary Hike Calculator, Salary to Hourly/Daily, Working Days & Holidays, Offer Comparator) do not automatically save calculation history.
2.5 Session & Technical Information
We maintain authenticated sessions using secure server-side session tokens stored as hashed values. We may also collect:
- IP address and request metadata (standard server logs)
- Browser and device type (from HTTP headers)
- Security-relevant events (login attempts, password resets)
- Cookies and session storage as described in the Cookie & Advertising Policy
3. Client-Side Calculations
Many calculator computations are performed directly in your browser. However, data is transmitted to Precision Payroll servers when you use server-backed functionality, including:
- Creating or managing an account
- Adding or editing organization/employee records
- Saving a calculation record
- Generating a PDF salary slip or report via the server
- Authentication (login, password reset, email verification)
Anonymous use of public calculators without authentication involves minimal data transmission beyond standard HTTP/server logs.
4. Why Information Is Used
We use collected information to:
- Authenticate your account and manage sessions securely
- Provide the calculator and workspace functionality you request
- Save and retrieve calculation records you explicitly choose to save
- Generate salary slips and other documents you request
- Send account-related emails (verification, password reset)
- Protect service security and detect abuse
- Diagnose technical issues and improve reliability
- Comply with applicable legal obligations
- Serve advertisements on public pages (see Cookie & Advertising Policy)
6. Data Retention
Data is retained for the period necessary to provide the service and meet applicable obligations. Indicative categories:
- Account data — retained while your account is active and for a reasonable period after closure
- Organization and employee records — retained while your account is active; you may delete individual records within the workspace
- Saved calculations — retained while your account is active; deletable within the workspace where that function is available
- Soft-deleted records — retained briefly after deletion to support data recovery; permanently purged thereafter
- Security/operational logs — retained for a limited period for security and diagnostic purposes
Open decision: exact retention schedules for each data category will be confirmed and updated in this policy once business/legal requirements are finalized.
7. User Controls & Rights
You can:
- Access and update your account information in Account Settings
- Edit or delete employee records from the workspace
- Delete saved calculation records where the delete function is available
- Request account closure by contacting privacy@precisionpayroll.app
If you are located in a jurisdiction with data-subject rights (such as access, correction or deletion rights under applicable data-protection law), contact us at the privacy address below and we will respond in accordance with applicable requirements.
Precision Payroll is building its privacy controls in line with the phased commencement of the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025.
8. Security
We implement security measures appropriate to the nature of the data we hold. See our Security & Data Protection page for details.
9. Children & Minors
Precision Payroll is intended for use by HR professionals, payroll administrators, business owners and employed adults. The service is not directed at children under 18. We do not knowingly collect personal data from minors. If you believe a minor's data has been submitted, contact us to request deletion.
10. Changes to this Policy
We may update this Privacy Policy from time to time. We will revise the Last content review date at the top of this page. Significant changes may be notified via email or in-app notice for authenticated users.
